Abstract

The National Museum of Contemporary Art, Korea began operating the museum archives in October 2013. Although the museum archives have an independent flow that is distinct from discussions of the archival sciences, it is a reality as a record management organization, and therefore, access to and analysis from the viewpoint of archival science is required for efficient operation. The purpose of this study is to diagnose the method of collecting and organizing records from the viewpoint of archival sciences from the Institutional Archives of the National Museum of Contemporary Art, Korea. To this end, we theoretically examined the function of the museum, the role of the museum archives, and the scope and method of collection and arrangement of the museum archives. Based on these discussions, we analyzed the scope of the collection and the system of arrangement of the institutional archives. Then, we suggested some improvement plans.

Abstract

As nonexisting information affects actual information release rate, the study noted that the absence of records leads to the “nonexistence of information.” Therefore, in this research, it was argued that records management should be thoroughly controlled from the stage of record production to solve problems such as the loss/damage/neglect/destruction/misclassification/ reduction of preservation periods and more. Through the management from the production stage, it is expected that the nonexistence of information problem will not occur and can be used as a tool for a demonstration of why the nonexistence of information exists even if such information occurs.

Abstract

In recent years, ISO 15489-1:2016 has attempted to standardize the appraisal of records. It is difficult to apply standardized principles and methodologies to the appraisal of records because it is different for each country, region, and organization to distinguish what kind of records are important and how to select them. For this reason, numerous theories and methodologies have been proposed around the appraisal of records. ISO 15489-1:2016, on the other hand, has laid the groundwork for the standardization of the appraisal of records that are applicable globally in recent record management environments based on a new perspective on the appraisal of records. ISO 15489 presents the principles and methodology of records management that are consistent with the electronic record environment based on the record continuum theory, and the principles and methods on the appraisal of records presented in ISO 15489-1:2016 need to be analyzed in depth. This paper analyzes the concept and the logic of the appraisal of records presented in ISO 15489-1:2016 to find an improvement direction in accordance with the recent electronic record environment. For this purpose, it reviewed courses from the enactment of AS 4390 to the revision of ISO 15489 to understand the background of the appraisal principles of ISO 15489-1:2016. Based on this, the appraisal concepts and principles presented in ISO 15489-1:2016 were examined, and the process of the appraisal was analyzed.

Abstract

This study is a basic study for the comparison and analysis of the current status and service of the Unified Presidential Archives and the civilian memorial hall, which manages the country’s presidential records. For this purpose, the Presidential Archives and individual private memorial halls were surveyed on the current status of records, online and off-line services, and legal and institutional records. Based on this, the study analyzed the characteristics and differences of the Unified Presidential Archives and individual private memorial halls. This study is meaningful in that it attempted to compare and analyze the characteristics of the Unified Presidential Archives and individual private memorial halls and that the two agencies sought basic research to develop cooperative relations.

Abstract

This study suggests the development of a classification system for the Independent Movement Records of the Ministry of Patriots and Veterans Affairs based on the collection of Gonghun Digital Archive based on sources, subjects, and media types. First, the classification system by source is organized by hierarchy, and the records classified by source are classified into the second category based on the related keyword. Then, the records are classified into 17 media types. Finally, it is described in the citation order of “source-subject-media type.” In addition, a meaningful collection using inductive methods based on the subject words is derived. Finally, Gonghun Digital Archive collections are categorized by media types, sources, and subjects so that users can easily find the records. The result of this study is a classification system to support records retrieval of an independent movement collection, and it will become a basis for expanding the accessibility of the user and the service of independent movement records.

Abstract

This study was intended to investigate the long-term preservation policy of electronic records published abroad to derive and compare the policy elements necessary for policy establishment. The U.S., Canada, United Kingdom, Australia, and Switzerland archives were selected, which officially announced the e-Record Preservation Policy. Research and analysis of the long-term preservation policies of the five selected countries resulted in six main policy elements. These six policy elements are preservation scope, long-term preservation strategy, risk management, integrity assurance methods, preservation infrastructure, and reference models. We compared and analyzed five long-term preservation policies through policy elements and found six implications as a result. The implications were focused on establishing a long-term preservation strategy in line with the actual state of the institution and using long-term preservation policies outside of the country as advanced cases for various types of electronic records.

Abstract

In the era of digital transformation, new technologies have begun to be applied in the field of records management, away from the traditional view that emphasized the existing institutional and administrative aspects. Therefore, this study analyzed the service status of archives, libraries, and museums applied with advanced intelligent technology and identified the differences. Then, we proposed how to apply intelligent archival information services based on the analysis results. The reason for including libraries and museums in the research is that they are covered by a single category as an information service provider. To achieve our study aims, we conducted literature and case studies. Based on the results of the case study, we proposed the application strategies of intelligent archival information services. The results of this study are expected to help develop intelligent archival service models that are suitable for the changed electronic records environment.

Abstract

The main purpose of this study was to investigate the research topics of the Journal of Korean Society of Archives and Records Management, which is one of the main academic journals of archival research in Korea. To achieve this objective, a total of 875 author-assigned Korean keywords were collected from the 390 papers published from the first issue (i.e., 2001) to the current issue (i.e., 2017) in the target journal. The collected keywords were analyzed using NetMiner V.4 to discover their frequency, degree centrality, and betweenness centrality. Results showed that “Archival Information Services,” “Electronic Records,” “Historical Archives,” “Archivists,” and “National Archives of Korea” showed the most frequently conducted research topics; whereas “Archival Information Services,” “Electronic Records,” “Evaluation,” “Locality Archives,” and “Retrieval System” were the most influencing research topics. On the other hand, “Archival Information Services,” “Archivists,” “Electronic Records,” “Archive,” and “Metadata” showed the most widely intervening research topics in this research.

Abstract

The purpose of this study is to present a plan to collect records for the post-management of the Pyeongchang Winter Olympics, which was held in February 2018. To achieve the research objectives, the value and types of records of the 2018 Winter Olympics follow-up records were identified, and the cases of mega sports event follow-up were selected and analyzed. Based on this, the following three measures were presented to collect records related to the Pyeongchang Winter Olympics. First, records were collected based on collection methods over time. Second, records were collected based on the object and subject of recording. Third, records were collected based on subjects related to the Pyeongchang Winter Olympics. The study’s result can be used to establish a Pyeongchang Winter Olympics memorial hall and to prepare a collection plan for follow-up management after holding a domestic mega sports event.

Abstract

This paper aims to suggest a facet-based ontology model that can help sort and access records of dispersed families to address these problems. The facet systematically defines the categories of target concepts, which can create diverse and multiple access points. Using the top-down and bottom-up approaches, the facets, which consist of five upper classes and 18 lower classes, were derived for the records of dispersed families. The proposed ontology model was evaluated by real users. The results show that, overall, the ontology is complete and relevant in terms of access points, availability of context information of the records, and description elements for search and use of the records on dispersed families.
